Start with three real tasks
Church management software, often called ChMS, helps staff organize people, giving, events, volunteers and ministry communication. A long feature list is a starting point, not proof that a system fits your church.
Pick three tasks that currently cost the team time. For example: following up with a first-time visitor, preparing a multi-service volunteer schedule and producing a contribution statement. Write down who owns each task, what information they need and what a successful result looks like.
Check access before adding everyone
Invite the people who actually do the work: an administrator, a ministry leader and someone responsible for finances. Test each person’s permissions using fictional data. The system should let them do their own work without exposing unrelated pastoral or financial information.
Ask how member access, staff permissions and device access are revoked. Also check whether a church record can exist without a member login. Your directory should not depend on every visitor installing an app.
Compare the whole cost
Review the subscription, people limits, branded app add-ons, giving-processing fees, media usage and any separate products required. Compare the same scope across providers. A lower starting price is not a meaningful comparison if it excludes the tools your staff needs.

Rehearse migration and Sunday
Begin with a small sample of directory data and check names, contact details and households. Ask exactly which records can be imported. Importing people does not automatically mean giving history, forms, files and every service plan can move too.
Then rehearse the busiest part of the week: check-in, volunteer changes, a new visitor and an announcement. Include a member’s phone and a staff member’s browser. If your church is multilingual, test the languages and captions you actually need.
Make a decision your team can maintain
Record what worked, what required a workaround and what still needs confirmation. Assign an owner to the directory, communications and finance setup. A good system reduces repeated work only when the church has clear responsibilities.
