Turn a repeated process into a manageable workflow
Workflow triggers include a person being added, a guest stage changing and an identified form being submitted. Conditions can examine membership type, tags and custom fields. Actions can create a follow-up task, add a tag or queue an email.
Rules respond to future events rather than replaying every historical record. Imports are excluded from the person-added trigger, avoiding a burst of follow-up tasks when a staff member brings over the directory. Editing a rule pauses it so staff can review the changed process.
Report on the ministry question you need to answer
Custom reports cover people, giving, attendance and guest follow-up. Choose rows or grouped totals, apply supported filters and select the fields that help answer a specific question. Reports are private to their creator and require the appropriate source permissions.
A people report that uses giving or guest filters also requires access to those areas. Exporting a CSV requires export permission. That keeps a report from becoming an indirect way to expose information a staff member could not otherwise read.
Schedule a reminder to review, not a data dump
A scheduled report email contains a secure link rather than member names or financial totals. The link checks the viewer’s access when opened. It does not turn a saved report into a public dashboard or a dated attachment.
Start with one workflow and one report. Give the workflow a clear owner, verify contact preferences and check the report against a small fictional example. Expand after the staff understands what each rule and total means.
